Minutes 7/10/08
July 10th , 2008 Library West Selectors Meeting Minutes In Attendance: Shelley Arlen, Blake Landor, Merrie Davidson, Peter McKay, Barbara Gunderson, Richard Salzburg, Dan Reboussin, Matthew Loving (taking minutes).
The meeting began by B. Landor handing out copies of the written responsibilities of the newly created Collection Coordinator position and a discussion of the various responsibilities followed.
A discussion of Jack Waters and Amy Buhler’s collection endowments list was mentioned and P. McKay mentioned how the endowments had recently been better organized and clarified as to which selectors may have access to the funds and in what amounts. P. McKay agreed to send out a link to these endowment lists.
The purpose of holding proposed monthly meetings of Library West selectors was discussed and who would logically want to attend meetings. It was decided that in addition to LW selectors reporting to Shelley Arlen [including Colleen Seale and Judaica when hired], Peter Malanchuck, D. Reboussin and David Hickey would all be invited to attend. Shelley Arlen will always be invited and would attend as she is able based on her other meetings and responsibilities or based on the need of selectors to communicate information to her. It was decided that meetings will be the beginning of each month and will not be scheduled unless B. Landor is sent agenda items or has items that he is aware need communicating.
Blake brought up that many LW selection areas still need to be assigned. History, Women’s Studies are still unassigned to a specific selector and African Studies is currently being handled by Merrie Davidson.
Barbara Gunderson wanted to clarify with LW selectors her and R. Saltzburg’s new roles in helping selectors with ordering materials. She noted that CM Support Unit is no longer a unit and that she and R. Saltzburg will be working with LW selectors [and other selectors in other branches] in the areas of: ordering materials, expediting course reserves, foreign orders, children’s materials, audio-visual materials, lost items, committee work, conferences, helping with bibliographic projects and other areas as work flows become more evident and as relevant opportunities to assist selectors occur.
B. Gunderson mentioned that CM Support used to exclusively track and handle course reserves or RUSH/RESERVES that needed special attention. It was agreed that she and R. Saltzburg will continue this practice so that nothing is missed as we approach the busy Fall semester. It was also suggested that Michelle Foss be invited to the next LW Selectors’ meeting.
Blake discussed distributing the current e-periodicals lists/databases list and so that selectors will know what is being subscribed to and may weigh-in on decisions to cut e-titles if they think it wise and necessary as we move further into uncertain budgetary times at UF. Peter mentioned that e-titles/database decisions would need to go through Scholarly Council before anything could be cut or changed. Several selectors also brought up the idea that if e-titles are cut it isn’t sure where those funds would then go- likely not back into selector’s funds.
Peter updated remaining selectors that did not need to leave at 3pm about the current 15% budget cuts equaling $530,000. He also cautioned that Acquisitions will likely recalculate this amount to reflect some padding which may be as much as $100,000 but all that is yet to be seen. Neither the 15% nor the padding takes into account if more cuts are to come in the Fall as may well be the case. Selectors need to know that July 15th, budget will be in place, though not fixed, and orders can be placed.
